It is time to begin the exciting and fun opportunity to play the sport of hockey. Your team is compiled of players from, Pine Island, Byron, Hayfield, Kasson, Mantorville, Dodge Center, Claremont and West Concord. It is your role in conjunction with team coaches to help the organization coordinate information to your team's players and parents.
The time and effort you give to your team will produce and exciting and fun atmosphere in which to enjoy the sport. Your role is to be a great communicator and enthusiastic about our roles as parents in aiding the association.
New families and first time players will have questions you may or may not be able to answer. Our DCYH web site, www.dcyh.org, will provide you with a tool to direct questions and get answers. There is a list of the Board of Directors on the web site. Contact one of us to help gather information.
As an organization, all with the same goal, to enjoy the sport of HOCKEY, we say THANK YOU for the time you are giving to the organization and your team!!!!!!!!!
Begin by contacting the Coach for a team roster. The roster will contain each player's name, player's parent(s) name, phone number and e-mail address (if available). A gray box in the 4 Season's Business Office will have an area for your team's information; you will also find a roster there but DO NOT REMOVE.
Check this box each week for team information.
Please e-mail our Secretary, Janet Heinl, (heinl.janet@mayo.edu), as she needs your e-mail address to compile a list of all the team parents.
Contact the parents and hold a team meeting with coaches involved to introduce yourself, the coaches, hand out rosters and go over things like the concession stand, pizza fundraiser, tournaments, team parties, jerseys, team orders for DCYH clothing or merchandise items and allow for questions. Make sure all players and families are aware of the DCYH web site (www.dcyh.org).
Distribute the team roster to each parent on the team. At the same time start a calling tree, and distribute that as well. The calling tree can be helpful for practices that are canceled or rescheduled. The calling tree enables each player to receive the information immediately. (This way you are not responsible for calling each family.)
Example of calling tree. Remember to start with the coaches.
Example of Team Information Sheets
Bobcat Clothing order formAll these guides are enclosed in the later part of this booklet.
Each time you give out information to the parents please label the document(s) with the player names. This way if a player is missing the day of distribution you know who remains to receive that piece of information.
We have DCYH merchandise and clothing available via our home page and team order forms. Our organization receives 10% back from all orders. Spread the DCYH Bobcat Spirit throughout the Community and State!!!
Team orders can be placed from Superior Screeners via the provided order forms or web site no later than November 18th. Please pass around the Superior Screeners order form to each family prior to Picture Day, November 16th. On Picture Day a size run of some items will be available. Lushinsky Merchandise is available throughout the year via the DCYH web site.
All DCYH coat orders are in bulk and must be ordered by November 18th 2002.
The Concession stand coordinator will work with the ice scheduler to provide the team parents within a couple weeks notice of the dates and times that your team's parents and families are to work the concession stand for a block of time. Call the other Team Parents from the different level teams to work on filling each time slot.
Catch families at practice in the locker room, by phone or hold a before practice meeting to fill all of the assigned concession stand spots. Remind parents of their commitment to volunteer.
The team roster can be used for any family that ends up with a conflict for the hours they signed up for. A team member must help out for the assigned hours the team is to work the concession stand. Keep a master sign up list, give one copy back to the concession stand coordinator and place one sheet on the outside of the concession stand door to serve as a reminder to your team as they walk into the arena.
Prepare
Team Time Tracking Form
to keep track of Volunteer Hours donated by each family.
We must cover the concession stand hours (15) and then when help is
needed at tournament times.
Thank you, our concession stand brings in a large sum of money and keeps our other costs down. Your consistency and follow through is greatly appreciated!!!!!!!!
Your team has been sponsored by at least one area business. Create a Banner to hang during scrimmages or games that include your sponsor's logo(s) (team name), as well as the name and player number of each hockey player. Do not forget the coaches.
Your banner can hang at home games and scrimmages, practices, will travel with you, come to your party and lastly bring it to the year end party.
Have fun and be creative with it.
The Lushinky family will take individual and team photos on a November 16th, 2002. Our secretary will e-mail you with the date and times of picture day.
Prior to picture day, let all families and players know date, time and what jersey (color, if more than one) to bring for photos. Make a hand out and put each players name on the handout to be sure all players have been notified, e-mail messages work great as well.
Distribute photos, they can be found in the gray box.
You will be called to attend a Pizza Fundraiser kick off. You will receive a selling packet from the pizza coordinators, label each packet with a player's name and distribute all packets on the required day as per the instruction sheet provided by the Pizza sales coordinators.
Each family will receive an instruction packet as well, this will help to remind them of pertinent dates. (You may want to have a team meeting to distribute selling packets).
At the end of the sales period collect all orders and money.
A deposit stamp and slip will be provided to make the money deposit and coordinators will collect all sales documents from you.
Inform all parents about pick up day and arrange for 2-3 volunteers from your team to sort large orders prior to pick up as well as help out during the pizza pick up.
The Pizza sales coordinators will contact you about distributing earned prizes when they arrive. Distribute all prizes.
The Mite Incentive Program is a fun way for the children to continue practicing their skills even on non-hockey days.
Make a board and keep track of non-practice hours on this board. The board can be displayed at the arena in a place designated by the arena manager (Steve Howarth). This information is used at the end of the year at your team party. Recognition is given to those children participating that accomplish the required goals.
See mite incentive program sheet on the web site for more information.
The S.K.A.T.E program is a chance to recognize that while playing sports the value of education is invaluable and recognized by our organization. Keep track of qualifying player's report card results to turn in for recognition of their achievements. Forms for this program are available from the S.K.A.T.E. coordinator. Squirt player and above can participate. Please be sure to offer this program if your team is old enough. It is hurtful for include one team and leave out others that can qualify.
The S.K.A.T.E. program coordinator (Amy Wix of Byron) needs to receive information each quarter and prior to the end of the year. See S.K.A.T.E. program sheet on the web site for more details.
Hattrick, Playmaker, and Zero Awards can be ordered through the district. The rules for obtaining one of these can be found on the Minnesota Hockey web site (www.minnesotahockey.org).
Beginning at the squirt level away tournaments may involve overnight opportunities for the team. At this level the team manager will arrange for hotel blocks, contact tournament coordinators regarding playing times, and arrange fun activities such as pot lucks, find bowling alleys, make hotel door signs, posters, and find more ways to enjoy the tournament. Check with the team manager to see if they are in need of any help with team plans.
Time to have fun and remember the season and those that gave so much time to the program!!
Decide on a location for your team (ice arena which needs to be confirmed with Steve Howarth, the arena manager, pizza place, ect.) to gather and celebrate the end of the year.
Book a place 3 weeks in advance as well as order trophies for each player. The trophies are paid for by the hockey parents. Decide on gifts for managers, coaches and others important to your team, remember to include a thank you to your team sponsor. You may decide to hold a meeting in the locker room to get feedback on location and the amount to be spent for the combination of gifts, food, ect.
Examples of places to look at trophies include:
Remember Dodge County Merchandise and clothing is available to order via the DCYH web site or at Superior Screeners for manager and coaches gifts as well. Give yourself 3 weeks minimum for orders.
This is the time to recognize players that have made achievements in the incentive program or other accomplishments the coaches wish to recognize.
The S.K.A.T.E. program achievements will be recognized at the end of the year DCYH year end party. Players who have earned hattricks, playmaker, and zero awards will be awarded these at this time also.
Have fun!!
The secretary will e-mail you with the date and times for the association party, and will also send a post card to each family. Please encourage your players to join in the fun, food, music and prizes. This is really a great time!!! An e-mail message to families will work great to serve as a reminder.
Team Parents, without your coordination skills we cannot operate efficiently and all enjoy the great sport of HOCKEY. Thank you for your time, communication skills, your time, your time, your time and your love of the game.
Most Sincerely,
Dodge County Board of Directors
